Exhibition Stand Cost: What Drives the Price and How to Compare Quotes
Exhibition stands range from a few roll-ups to a two-storey build. These are the cost drivers to know, and how to get stand builder quotes you can compare.

Exhibition stand cost can range from a few roll-ups on a small shell scheme space to a two-storey custom build. There is no general price list, but the cost drivers are the same at every fair. Once you know them, you can decide where to spend, where to save and how to ask stand builders for quotes that can be compared.
German exhibitors often search for the same thing as "Messestand Kosten". The principles below apply to fairs in Germany and elsewhere in Europe.
What makes up the exhibition stand cost?
The stand itself is only part of the bill. AUMA, the association of the German trade fair industry, groups the costs of a trade fair participation into six blocks in its guide to successful trade fair participation:
- Basic costs: stand space rent with on-site ancillary costs, registration, utilities such as power, water and internet, venue fees and insurance.
- Design, construction and fittings: stand design and build, furniture, exhibits, graphics, technology and decoration.
- Stand service and communication: catering on the stand, invitations, advertising, giveaways, catalogue entries and press work.
- Transport, handling and disposal: freight, on-site handling, storage of empty crates, customs fees and waste disposal.
- Staff and travel: your own and external staff, travel, accommodation and outfits.
- Other costs: for example visitor surveys and hospitality away from the stand.
Use these blocks as the structure of your budget. AUMA also recommends monitoring each category during the project and planning a reserve for unforeseen changes.
Exhibition stand cost drivers you can influence
Size and number of open sides
Floor area is the starting point, and the position of the stand changes the price per square metre. As an example, the exhibitor page for R+T at Messe Stuttgart lists space rent from 1 January 2025 of 249 euros per m² for a row stand, 271 euros for a corner stand, 294 euros for an end stand and 307 euros for an island stand, excluding VAT. On top come an AUMA contribution of 0.60 euros per m² and an eco surcharge of 8 euros per m². Other fairs price differently, so always ask the organiser for its current conditions.
More open sides also mean more visible walls and graphics, which raises the build cost as well as the rent.
Custom-built or modular stand
A custom-built stand is designed for one look and one space. A modular system, often an aluminium frame with tension fabric graphics, can be reused and reconfigured for different stand sizes. AUMA's guide notes that modular systems allow quick, low-cost adjustments. If you exhibit several times a year, a modular stand with replaceable graphics usually lowers the exhibition stand cost per fair.
Graphics, lighting and technology
Printed walls, fabric frames, lightboxes, floor graphics, screens and LED walls all add up. Decide what visitors must see from the aisle and spend there first. Check the fair's fire safety rules for materials early; see fire-rated exhibition and display materials.
Transport, build-up and dismantling
Freight, on-site handling, storage of empty crates and the crew's days on site are often underestimated, especially for fairs abroad. Ask stand builders to quote these items separately so you can see what they cost.
Costs that are not in the stand builder's quote
The organiser charges separately for the floor space and usually for electricity, cleaning, internet and other services. Your own staff, travel and hotels are also outside the stand builder's quote, and they are rising. In AUMA's Exhibitor Outlook 2024/2025, a survey of 400 exhibitors carried out in late 2023, 56.2 per cent of companies named significantly higher hotel costs and 54.2 per cent higher travel costs as reasons for higher trade fair spending.
Book accommodation as soon as your participation is confirmed and ask the organiser for its service price list early, because these items are easy to forget when you compare total exhibition stand cost between fairs.
Messestand Kosten: what to know about German trade fairs
If you exhibit in Germany, a few points are worth knowing:
- AUMA contribution: German organisers may add a small charge per square metre for AUMA, as in the Stuttgart example above.
- Finding the right fair: AUMA's trade fair database lists over 3,500 trade fairs.
- Funding: AUMA points German exhibitors to federal and state programmes that support trade fair participation abroad, and to a check on eligibility for funding at fairs in Germany.
When you compare Messestand Kosten between a German fair and one elsewhere, compare like with like: same stand size, same open sides and the same list of included services.
How to lower the exhibition stand cost per fair
- Set the budget from your goals for the fair, as AUMA recommends, rather than from last year's spend.
- Reuse a modular stand and replace only the graphics.
- Choose a row or corner stand if your goals do not need an island position.
- Order organiser services before early-booking deadlines.
- Plan transport and storage together, especially if you exhibit at several fairs a year.
- Use portable displays such as roll-ups for smaller events; see roll-up banner sizes.
A simple exhibition stand cost budget
Before you ask for quotes, put a first budget on one page. List each of AUMA's six cost blocks, enter what you already know, such as space rent from the organiser's price list, and mark the rest as estimates to be replaced by quotes, and add a reserve line for changes.
Questions to answer first
- What do you want to achieve at the fair, and how will you measure it?
- Will the stand be used once, or at several fairs over the next years?
- Which products must be shown physically, and which can be shown on screens or graphics?
- How many people will staff the stand, and for how many days?
The answers decide most of the budget before any stand builder is involved.
Getting comparable quotes from stand builders
Send each stand builder the same brief: the fair, dates, stand size and open sides, the look you want, required furniture and technology, and whether the stand should be reusable. Ask them to split the quote into design, production, graphics, transport, build-up and dismantling, and storage. Then the exhibition stand cost of each offer can be compared line by line.
On Flobid you can send one request to builders of custom-built exhibition stands or to suppliers of modular stand systems, and receive quotes side by side.

Vanliga frågor
What is the biggest part of the exhibition stand cost?
It depends on the stand, but design and construction, space rent, transport, and staff and travel are usually the largest blocks. Floor space and services are charged separately by the organiser.
Why does a corner or island stand cost more?
Organisers often charge a higher rent per square metre for stands with more open sides, and more open sides also mean more visible walls and graphics to build.
Is a modular exhibition stand cheaper?
If you exhibit several times, a reusable modular stand with replaceable graphics usually lowers the cost per fair compared with a new custom build each time.
